Expenses and invoices

Expenses

Expenses are the costs of a project that are not hours: travel, materials, software, mileage. People record them against a project with a receipt, a manager approves them, and the billable ones can be put on the client’s invoice.

Expense categories and approval

Categories sort expenses into kinds, so reports can show how much went on travel or on software. Expenses are approved in the same way as timesheets.

Invoices

An invoice turns billable hours and expenses into a bill for the client. Punchly fills it from tracked work, sends it by email, and keeps track of what has been paid.

Create an invoice

An invoice is made for one client. You can start it empty and pull in the work, or create it straight from a report that already shows the work you want to bill.

Send invoices and record payments

Once an invoice is right, send it to the client and record the money as it comes in. Punchly shows at any moment what is still owed.

Invoice settings

Set these once and every new invoice starts out right: your company details, the numbering, taxes, and the email that goes to clients.
