Templates, archiving and bulk edit

Templates save setting up the same kind of project again and again. Archiving puts a finished project away without losing its time. Bulk edit changes many projects in one go.

Templates

Any project can be used as a template. Open its three-dot menu and choose Set as template. It then appears in the Template list when creating a project.

A project created from a template copies its colour, rates, note, estimate, tasks with their assignees and rates, and the people and groups on its Access tab. The client is copied only if you tick Also use the template’s client. Manager rights are not copied. Templates need the Basic plan.

Archive and restore

  • Archive when a project is finished. People can no longer pick it when tracking time. Its time stays in reports. By default its tasks are marked as done too.
  • Restore brings it back. Find it by setting the filter to Archived.
  • The owner and admins can still add time to an archived project. Others cannot.

Delete

A project must be archived before it can be deleted. Deleting removes the project and its tasks for good. Its time entries stay, but without a project or task, so their amounts fall back to the member or workspace rate. To confirm, you type DELETE.

Bulk edit

The owner and admins can tick several projects and press Bulk edit, Archive or Restore. Bulk edit can change, for all ticked projects at once:

  • visibility (public),
  • access, adding to or replacing the people already there,
  • client and colour,
  • billable by default,
  • billable rate,
  • tasks, adding to or replacing the existing ones.

If one project cannot be changed, none are. Bulk edit needs the Basic plan.

Who can do this

Setting a template, archiving, restoring and deleting are for the owner, admins and that project’s managers. Bulk actions are for the owner and admins only.
