Cancelling, and what happens when a plan ends
A workspace never loses its data when a trial or a paid plan ends. It moves to the Free plan, and what Free does not cover is switched off or put aside.
Cancel a subscription
- The owner opens Workspace settings, Subscription.
- Press Cancel subscription and confirm.
- You keep everything you paid for until the end of the paid period, and are not charged again.
- A cancellation cannot be undone. You can subscribe again once the paid period has ended.
- Cancelling the plan also cancels any kiosk seats.
What moving to Free means
This is the same whether a trial ends, a subscription is cancelled, or a payment keeps failing.
- Only 5 people stay active: the owner and admins first, then whoever was active most recently. Everyone else is deactivated. Their time is kept, and they can be activated again once there are seats.
- Kiosk-only people are deactivated, and kiosks stop working.
- Private projects become visible to everyone in the workspace.
- Reports cover 31 days at a time and export as PDF only.
- Paid features stop: invoices, time off, approvals, expenses, scheduling and the rest. Jira, Projqo and QuickBooks stop syncing.
- Nothing is deleted. Upgrading again brings the features back with everything as it was.
Before a trial ends
The owner and admins get an email three days before, one day before, and on the day. Each one lists exactly which people would be deactivated, which private projects would become visible, and which features would stop. If you need longer to decide, the Subscription tab has a link to ask us for more time.
If a payment fails
- The tab shows that the last payment could not be taken, and the date until which everything keeps working.
- Razorpay tries again over the next few days. The owner and admins get an email.
- If it still does not go through by that date, the workspace moves to Free. Subscribe again to return to the plan. You can use a different card.
What members see
Regular members do not see the Subscription tab or the trial countdown. When a feature needs a higher plan, they see it greyed out with a note to ask the workspace owner.
